ASK THE GURUS: Three Questions Business Owners Ask About Microsoft Copilot AI
With every new technology platform or resource, there’s hype, fear, and acceptance. The introduction of AI was no exception, with the initial fanfare and hoopla making it seem like AI tools would soon take over every aspect of business. Some people feared AI would take their jobs; after all, look what happened to switchboard operators in the 1970s when switching equipment automated phone system connections.
Now we’re at the acceptance stage, and it’s here that the tear at a COUPLE of GURUs can do the most good for our clients. Because we love AI. Not for its hype and not because it’s going to take over jobs. We love it because it does what it promises: it enhances efficiency and saves time with many tedious tasks.
If you’re like many of our small business customers, you still have questions about AI, specifically Microsoft Copilot. We’ve gathered and answered the top three, but we welcome your questions. Just “ask the Gurus,” and we’ll cover them in upcoming articles.
Three Questions (and Answers) for Business Owners About Microsoft Copilot AI
How does Microsoft Copilot integrate with existing workflows?
Microsoft Copilot integrates seamlessly with existing workflows by leveraging tools like Power Automate and Copilot Studio. With Power Automate, Copilot simplifies the process of creating and managing workflows using natural language. Users can simply describe their needs, and Copilot will design automation flows for tasks such as data processing or notifications. It also offers contextual assistance and troubleshooting, ensuring that workflows run smoothly and efficiently.
For process optimization, Copilot employs process mining to analyze operations, identify inefficiencies, and suggest actionable improvements. It can summarize findings clearly and help users implement recommended changes. Additionally, desktop flows allow Copilot to streamline desktop-based tasks by creating automated flows, repairing errors, and analyzing activity—making it an excellent tool for managing repetitive tasks.
With Copilot Studio, users can extend Copilot’s capabilities further by integrating it with custom agents and cloud flows. This enables advanced automation and enhanced interaction within workflows, tailoring the experience to specific business or personal needs. Overall, Microsoft Copilot serves as a powerful ally in simplifying, optimizing, and enhancing productivity across various workflows.
Microsoft Copilot typically requires a paid subscription to use these features. For example, Microsoft 365 Copilot is available as an add-on to certain Microsoft 365 subscription plans, such as Microsoft 365 E3, E5, and Business Premium. Additionally, Copilot Studio offers licensing options like pay-as-you-go or message pack subscription
Can you share some use cases and examples of how a business might benefit from Copilot?
Here are three Microsoft Copilot use cases that many small business owners will benefit from:
Writing Job Descriptions
We’ve used this feature at a COUPLE of GURUs, and it’s a game changer! If previous job descriptions are available in your files, Copilot can scan them and craft a fresh job description based on the parameters you input. Depending on what you ask it for, it can create job descriptions based on the same format and with consistent company information (such as benefits and location) as existing job descriptions.
Document Summarization
Copilot can generate concise summaries to save time while ensuring you understand the key points if you’re reviewing a long business report or vendor contract. Remember: don’t share documents with public (free) versions of Microsoft Copilot. To ensure privacy and confidentiality, share these documents only within the licensed version of Copilot as part of a Microsoft 365 subscription.
Task Automation
With Power Automate integration, Copilot can set up workflows. For instance, you can automate notifications to your team when a customer order is placed or streamline repetitive tasks like inventory management.
There are many more than these three examples, but these are three we’ve seen as real game changers for our small business clients.
How can I safeguard my company’s confidential and proprietary data when using Copilot?
Safeguarding your company’s confidential and proprietary data when using Microsoft Copilot involves implementing a combination of robust security measures and leveraging Microsoft’s built-in protective features. One critical aspect is data governance and access control. Tools like Microsoft Purview and SharePoint Advanced Management help establish strict policies to manage who can access specific data, ensuring sensitive information remains protected and reducing the risk of unauthorized sharing.
Another safeguard is restricted content discovery. By configuring policies to limit what Copilot can access or analyze, businesses can ensure that proprietary data is not inadvertently exposed during interactions with Copilot. Additionally, Microsoft’s anonymization and aggregation processes further enhance data privacy. These measures ensure that individual users or organizations cannot be identified, maintaining a high level of confidentiality while still providing personalized assistance.
Transparency and user control are also key features. Microsoft offers clear explanations of how data is collected and used, allowing users to modify their preferences as needed. To further enhance security, businesses should conduct regular audits and review access permissions to ensure that only authorized personnel have access to sensitive information.
Lastly, employee training plays a vital role in data protection. By educating staff about best practices for securely using Copilot and recognizing potential risks, organizations can minimize vulnerabilities. Combining these strategies with Microsoft’s advanced security tools ensures that businesses can confidently use Copilot while safeguarding their most valuable data.
